Overview: Why We Use This Feature

Canix offers a full set of Harvest actions that send compliance data directly to Metrc, BioTrack, or record it natively in Standalone states. The process is mostly the same between Metrc and Non-Metrc submissions, unique differences will be called out in the documentation.

By logging these actions in Canix you can take advantage of the fastest way to capture plant tags and weights, submit an entire multi-strain harvest in one upload, and optionally save work as a draft before making the final submission to your compliance system. These actions are all written to a detailed Activity History.

Create Harvest: Once your Flowering Plants are ready to be harvested, follow these steps to create a Harvest on the Canix Web Application. You will be required to enter in individual wet weights for each Flowering Plant in the Harvest, or assign an average wet weight to all Plants in the Harvest.

Canix Harvest Importer: For the fastest possible Harvest workflow in Canix, we recommend using the Canix Harvest Importer. To use the uploader, you'll scan tags and record weights directly from your scale into the Canix Harvest Import Template and then upload this file into Canix. The advantages to this approach are capturing tags and weights without needing to type on a keyboard, and allowing for multi-strain harvesting, as Canix will automatically split the upload into separate harvests by strain.

Unsubmitted Harvests: Unsubmitted Harvests are Harvests and Manicures that are still in progress and have not been submitted to Metrc. This feature allows you to continue to edit or delete a Harvest before making the final submissions to Metrc. Once a harvest or manicure has been submitted to Metrc you cannot make updates to that Harvest or Manicure without contacting Metrc.

Revert Harvest: If you have Created a Harvest accidentally, or need to correct certain details, you may be able to Revert the Plants back to the Flowering phase and resubmit the Harvest when you’re ready. This action is restricted to scenarios where no Packages or Waste have been created from the Harvest, and in Metrc states this action is restricted to the 48 hours following the creation of the Harvest.

Glossary

• Harvest: A group of Flowering Plants of the same Strain cut and recorded together in Canix and, where applicable, in Metrc.
• Metrc: The state-mandated seed-to-sale traceability system that Canix syncs with in certain states.
• BioTrack: A compliance system Canix supports for Harvest Name updates.
• Standalone: A facility that is not integrated with Metrc.
• Flowering Plant: The only plant growth phase that can be Harvested.
• Total Wet Weight: The complete weight for all plants in the harvest when cut, including the stem, stalk, leaf, and flower.
• Individual Plant Weight: The wet weight entered for each individual Flowering Plant in the Harvest.
• Average Weight: An average wet weight applied to all Plants in a Harvest rather than logging weights individually. Most regulations state that using average Plant weights is a non-compliant way of harvesting.
• Plant Weight Deviation: The max amount an individual plant weight should vary from the entered average when using randomized weights.
• Lot ID: An optional field that can be used to track Plants all the way from seed to sale.
• Manicure: A trimming action recorded alongside Harvests; Manicures also appear in the Unsubmitted Harvests list.
• Unsubmitted Harvest: A Harvest or Manicure still in progress that has not been submitted to Metrc, created by selecting Save Draft.
• Save Draft: The option selected when creating a harvest to add it to the list of Unsubmitted Harvests in Canix.
• Activity History: The per-harvest log providing a comprehensive record of cultivation and packaging activity from the harvest submitted from Canix.

Prerequisites & Setup

Before beginning, ensure the following requirements are met:

• Permissions: the following permissions control Harvest actions and are located in Analyze & Support > Admin & Settings > Permission Groups > [Group Name] > Action Permissions > Harvests:

• Create Harvests
  • This permission controls the Canix Harvest Importer and Unsubmitted Harvests as well

• Necessary Data:
  • Flowering Plants in Plants > Plants > View: Flowering (Tracked), all of the same Strain, to create a Harvest.
  • Active Harvests in Harvests > Overview > Active for packaging, waste, renaming, and finishing.
  • Inactive Harvests in Harvests > Overview > Inactive for reactivating.
• Harvest Importer Hardware: What you'll need to use the Canix Harvest Importer:
  • A laptop or tablet that runs MacOS or Windows
  • A barcode scanner with Bluetooth connection or USB cable
  • A scale with Bluetooth connection, a Bluetooth dongle, or a Serial RS232 to USB output cable (HID format)
  • Microsoft Excel
  • The Canix Import Template download the .xlsm file. Do not open the template with Google Sheets.

Important Considerations for Create Harvest

These "pro-tips" and warnings help avoid common pitfalls:

• Harvest vs Manicure: Create Harvest will move Plants to Harvested status. Manicures will keep Plants in the Flowering growth phase.
• All Plants in a single Harvest must be of the same Strain. You can choose to harvest Plants of the same Strain from a single Plant Batch or from multiple Plant Batches.
• Only Flowering Plants can be Harvested.
• Field requirements: Harvest Name, Strain Name, Drying Location, Harvest Date, and Weight Unit are required. Lot ID and Notes are optional.
• You will not be able to change or edit these details once submitted. Harvest name can be edited once submitted, however this cannot be changed after packages have been created.
  • See Unsubmitted Harvests for details on how to save Harvests as a draft before submission.
• Naming: we suggest a Harvest Name of Strain Name - Harvest Date (such as Blue Dream - 5/23/2022) but your facility can choose any naming structure.
• Note: Most regulations state that using average Plant weights (instead of individual Plant weights) is a non-compliant way of harvesting. We allow this option for customers who wish to use it, but we encourage you to speak to your local inspector or regulator about average vs. individual weights.

Step by Step Instructions for Create Harvest

Follow these steps or watch the demo video to complete each workflow:

1. Navigate to Cultivation > Plants > View: Flowering (Tracked)
2. Select Plants: Use the filters to narrow down your search of which Flowering Plants will be harvested. Once filtered, check the boxes next to each Flowering Plant to be included in this Harvest. Select Actions > Harvest # Plants.
   • To select multiple consecutive Plant Tags, make your first selection then hold shift when selecting the last one
   • Note: All Plants in a single Harvest must be of the same Strain

3. Input Details: Complete all required fields:

• Harvest Name: We suggest Strain Name - Harvest Date (such as Blue Dream - 5/23/2022) but your facility can choose any naming structure
• Strain Name: This is pre-populated based on selected Flowering Plants
• Drying Location: Type to search and select a location
• Harvest Date: The date these Plants were Harvested, usually today's date
• Lot ID (optional): Can be used to track Plants all the way from seed to sale
• Weight Unit: The weight unit used on this Harvest (grams, pounds, kilograms, etc)
• Notes (optional): Any notes you wish to log
• Individual Plant Weight or Total Harvest Weight: These are optional and less common; if you will be applying an average weight to all Plants (rather than logging Individual Plant Weights) you can use these fields to do so; after entering one, select Apply All
  • This may not be compliant with your local regulations, please check if your state requires individual plant weights.
• Average Weights Randomized: To randomize the individual plant weights, enter the average plant weight in the individual plant weight field. Then select the gray or white space on the page so no fields are selected, then select the letter d on your keyboard 5 times. Enter the max amount the individual plant weight should vary from the individual plant weight in the Plant Weight Deviation field. Select Apply All to assign the randomized weights.
  • For example, plants will receive a random weight between 1380g and 1590g (1485g individual weight + 105g deviation, and 1485g individual weight - 105g deviation)
  • WARNING: The total harvested weight may differ when using this option. Edit the individual plant weights to get to the desired total harvest weight if too different from the original weight.

4. Confirm Details & Submit: On the right side of the screen, enter an Individual Plant Weight for each wet Plant as you weigh them
   • Note: Plant weights can be adjusted by typing over the initial inputs, but can not be deleted completely
   • If you have any additional Flowering Plants of the same Strain to add at this time, click Add Plant at the top
   • Very carefully review all details on this screen to ensure that everything is accurate
     • Confirm all the correct Plants are included
     • Confirm all Individual Plant Weights are correct
     • Confirm the Total Weight in the bottom right appears correct for all combined Plants in this Harvest
     • Confirm the Harvest Name and Harvest Date are correct
   • You will not be able to change or edit these details once submitted
     • Note: Harvest name can be edited once submitted, however this cannot be changed after packages have been created

Troubleshooting for Create Harvest

If you encounter an error, check these common scenarios before contacting support.

• A Plant can't be added to the Harvest. Only Flowering Plants can be Harvested, and all Plants in a single Harvest must be of the same Strain.
• The Total Wet Weight looks too low. The most common Harvest error seen with customers new to Metrc compliance is not including all matter for all plants — stem, stalk, leaf, and flower — when initially inputting the Total Wet Weight.
• You need to delete a Plant weight you entered. Plant weights can be adjusted by typing over the initial inputs, but can not be deleted completely.
• The randomized total weight is off. The total harvested weight may differ when using Average Weights Randomized. Edit the individual plant weights to get to the desired total harvest weight if too different from the original weight.
• You submitted a Harvest in error (Metrc). As long as you have not created any waste or packages from it, you may "Discontinue" the harvest in your Metrc account during the grace period immediately after the Harvest is submitted (typically 48-72 hours after the original submission was made). If you have missed the grace period and cannot Discontinue the Harvest from the Metrc UI, please contact Metrc support and ask for help making the correction on their end. Once the Harvest is corrected in Metrc, you may return to Canix and select Refresh Metrc Data to remove the incorrect Harvest from Canix.
• The Harvest submission failed. You have the ability to review and edit harvest submissions without having to re-do your work. This can be done by viewing Unsubmitted Harvests.

Important Considerations for Canix Harvest Importer

These "pro-tips" and warnings help avoid common pitfalls:

• Download the Canix Import Template as an .xlsm file. Do not open the template with Google Sheets.
  • The macros in this file will only work on a Mac or Windows device. It will not work on mobile phones or tablets.
• Canix will automatically create separate Harvests for each strain with the corresponding plant tags after uploading.
• Scale Settings: 
  • Your scale may need to be set to send weights manually instead of continuously. If you're seeing a stream of data and weights typing into your spreadsheet, you'll need to change your scale settings to send weights manually.
  • If your scale is not Bluetooth enabled, you can connect directly to your laptop using a USB Interface kit, for example, an RS232 to Serial Connector, which is compatible with the Ohaus Ranger 3000. This exact kit may not work with your scale, please verify compatibility before purchasing.
• Weight Units: Units will be set to grams by default, but you can over-write these units by editing the formula in Excel and updating "grams" to read "kilograms", "pounds", or "ounces".
• CSV: The file must be converted to a CSV before import.
• When harvesting plants from multiple facilities/licenses you can record weights in a single import template. In Canix you'll need to upload this template for each facility, and Canix will recognize the plants that are in that facility only.

Scale Connection

Connecting both your scanner and scale allows for recording tags and weights without typing.

• USB Connection: If your scale is not Bluetooth enabled, you can connect directly to your laptop using a USB Interface kit. For example, an RS232 to Serial Connector, which is compatible with the Ohaus Ranger 3000.
  • This exact kit may not work with your scale, please verify before purchasing.

Scale Settings

Your scale may need to be set to send weights manually instead of continuously. For the Ohaus Ranger 3000, please follow the steps below:

1. Under the scale there is a red "legal for trade" switch. Move this to the off, or unlocked position.
2. Hold the menu button. You should see "CAL". If you do not see "CAL" your legal trade switch is still on (see step 1).
3. Use the "Print" key to navigate the menu until you see "Print". Press "Yes".
4. Use the "Print" key to navigate until you see "A.PRINT". Press "Yes".
5. Use the "Print" key to navigate until you see "ACCEPT". Press "Yes".
6. Press the "exit" key until you've returned to the weight reading, ie. "0000 g".
7. Place your cursor into Excel and press the "Print" key, you should see the weight populating in your spreadsheet.

If you're still having trouble with the connection, continue with the following steps:

1. Hold the "Menu" button. You should see "CAL".
2. Use the "Print" key to navigate the menu until you see "COM". Press "Yes".
3. Use the "Print" key to navigate until you see "BAUD". Press "Yes".
4. Use "Print" to navigate until you see "9600". Press "Yes".
5. Use "Print" to navigate until you see "Parity". Press "Yes".
6. Use "Print" to navigate until you see "8 None". Press "Yes".
7. Use "Print" to navigate until you see "STOP". Press "Yes".
8. Use "Print" to navigate until you see "1". Press "Yes".
9. Use "Print" to navigate until you see "HANDSH". Press "Yes".
10. Use "Print" to navigate until you see "None". Press "Yes".
11. Use "Print" to navigate until you see "alt.com". Press "Yes".
12. Press "Menu" to return to the weigh screen.
13. Place your cursor into Excel and press the "Print" key, you should see the weight populating in your spreadsheet. If you do not see the expected results please reach out to support.

Is your scale connection working, but you're seeing "1550 g" instead of just the numeric value "1550"?

1. Hold "Menu" for 3 seconds.
2. Use "Print" to navigate until you see "Print". Press "Yes".
3. Use "Print" to navigate until you see "Content". Press "Yes".
4. Use "Print" to navigate until you see "Unit". Press "Yes".
5. Use "Print" to navigate until you see "Off". Press "Yes".
6. Press "Menu" to return to the weight screen.

For other scales please find the scale manual by searching the model online and search for "Manual" or "Continuous" to find the relevant settings.

Recording Tags & Weights in the Harvest Template

Once both scanner and scale are connected, download the Canix Import Template. Do not open the template with Google Sheets. Use the link provided to download the .xlsm file.

1. To record weights start with your cursor in cell B2 and scan the first plant tag for your harvest. You'll see the cursor automatically move to the right, to the "weight" column after scanning.

2. Once your scale settles press "Enter" on the scale to record the weight and your cursor will automatically move to the next row, ready for the next tag to be scanned.

3. Repeat this process until all of your plants have been weighed.
   • Units will be set to grams by default, but you can over-write these units by editing the formula in Excel and updating "grams" to read "kilograms", "pounds", or "ounces".

Template Import

Once all plants have been weighed you can import the file into Canix to create your harvests.

1. Convert your file to a CSV by navigating to File > Save As and specifying the file format as CSV.

2. Navigate to the "Flowering (Tracked)" view on the Plants table, or the "Active" view on the Harvests table.
3. Select "Import Harvest" from the actions menu.
   • Canix will automatically create separate Harvests for each strain with the corresponding plant tags

4. Select "Review All Harvests" to confirm the Harvest Name and Location and the weights for each harvest.

5. "Save as Draft" to save the information and submit later, or select "Submit Harvest" to create and submit the harvest.

Troubleshooting for Canix Harvest Importer

If you encounter an error, check these common scenarios before contacting support.

• You're seeing a stream of data and weights typing into your spreadsheet. Your scale is set to send weights continuously. Change your scale settings to send weights manually using the Scale Settings steps above.
• The weight reads "1550 g" instead of "1550". Turn the Unit content off in your scale's Print menu using the steps above.
• The template won't behave as expected. Do not open the template with Google Sheets — download and use the .xlsm file provided.
• The units are wrong on import. Units are set to grams by default. Over-write them by editing the formula in Excel and updating "grams" to read "kilograms", "pounds", or "ounces".
• The import doesn't work. Convert your file to a CSV first by navigating to File > Save As and specifying the file format as CSV.
• You harvested plants across multiple facilities. You can record weights in a single import template, but you'll need to upload this template for each facility in Canix — Canix will recognize the plants that are in that facility only.
• The scale still isn't connecting. For other scales, find the scale manual by searching the model online and search for "Manual" or "Continuous" to find the relevant settings, or reach out to support.

• Logic constraint: Unsubmitted Harvests are Harvests and Manicures that are still in progress and have not been submitted to Metrc.
• Logic constraint: Once a harvest or manicure has been submitted to Metrc you cannot make updates to that Harvest or Manicure without contacting Metrc.
• Logic constraint: To add a Harvest to the list of Unsubmitted Harvests in Canix you will select the "Save Draft" option when creating a harvest in the Canix Web Application.
• Logic constraint: Destroying an Unsubmitted Harvest will permanently delete it.

Viewing Unsubmitted Harvests

1. Navigate to Cultivation > Harvest > Unsubmitted
2. Here you will find a list of all Unsubmitted Harvests and Manicures

3. To add a Harvest to the list of Unsubmitted Harvests in Canix you will select the "Save Draft" option when creating a harvest in the Canix Web Application

Submitting an Unsubmitted Harvest

Once all changes are made you can now Submit the Harvest from this section of Canix as well:

1. Navigate to Cultivation > Harvest > Unsubmitted
2. Click on the Harvest name 

3. Review and edit details and then select "Submit Harvest"

Deleting an Unsubmitted Harvest

If you find that you no longer need an Unsubmitted Harvest and would like to delete it from the list of Unsubmitted Harvests you can do so here as well.

1. Navigate to Cultivation > Harvest > Unsubmitted
2. From here you can select one or more Unsubmitted Harvests > Actions > Destroy

3. A confirmation window will appear, "Are you sure you want to destroy these harvests?" If yes, select Destroy this will permanently delete the Unsubmitted Harvest(s)

Download Unsubmitted Harvest Details

You can also Download a report of all the plants and plant details associated with each Unsubmitted Harvest.

1. Select the Unsubmitted Harvest that you would like to download the details for

2. Select Actions > Download — this will download a CSV with a full list of the plants from that Harvest including Tag numbers, Strain, Wet Weight, Unit, & Flowering Room
   • If you select more than one Unsubmitted Harvest, it will download a separate CSV file for each Harvest

Troubleshooting for Unsubmitted Harvests

If you encounter an error, check these common scenarios before contacting support.

• Your Harvest isn't in the Unsubmitted list. To add a Harvest to the list of Unsubmitted Harvests, select the "Save Draft" option when creating a harvest in the Canix Web Application.
• You need to edit a Harvest that's already submitted. Once a harvest or manicure has been submitted to Metrc you cannot make updates to that Harvest or Manicure without contacting Metrc.
• You destroyed an Unsubmitted Harvest by mistake. Destroying permanently deletes the Unsubmitted Harvest(s) — the work will need to be re-entered.
• You only received one CSV for several Harvests. Selecting more than one Unsubmitted Harvest downloads a separate CSV file for each Harvest; check your downloads folder for the additional files.

Revert Harvest

Important Considerations for Revert Harvest

These "pro-tips" and warnings help avoid common pitfalls:

• Metrc 48 hour window: Reverting Harvested Plants to flowering must happen within 48 hours of Harvest creation in Metrc facilities.
• No Package or Waste Creation: if Packages or Waste have been created from the Harvest, you will not be allowed to Revert the Plants to Flowering.
• Weights Lost: all weights associated to the Plants will be lost when you Revert them to flowering. 

Step by Step Instructions for Revert Harvest

Follow these steps or watch the demo video to complete each workflow:

1. Navigate to Cultivation > Harvests > Active.
2. Select the Harvest(s) and Actions > Revert Harvest.

3. Confirm the Action: Note, all weights associated to the Plants will be lost after Reverting them. The Harvest will be deleted.
   • Plants will re-appear in Cultivation > Plants > View: Flowering.

Troubleshooting for Revert Harvests

If you encounter an error, check these common scenarios before contacting support.

• 48 Hour error: In Metrc states, you must submit this action within 48 hours of creating the Harvest.
• Package/Waste Errors: If you have already created Packages or Waste from the Harvest, you will not be able to Revert the Harvest.
