Overview: Why We Use This Feature

Processors convert bulk material into finished goods, and Canix records that conversion in two places. The Item defines what the finished product is, and lives in your facility data so it can be reused. The Package is the physical inventory record, created by pulling material out of an existing source Package. Creating the Package is what moves inventory: the pulled material comes out of the source Package and the new Packages enter your active inventory, are submitted to Metrc, and become available to transfer or sell. The process is mostly the same between Metrc and Non-Metrc submissions, unique differences will be called out in the documentation.

The reason this pair of actions matters to Processors specifically is unit conversion. Your source material is measured by weight, and your finished product is usually measured by count. Creating the Item with a Weight Unit of Each and an Individual Unit Weight tells Canix how much material one finished unit represents, and the Pulled Weight field on the split tells Canix how much material to deduct from the source. Together they let you go from a bulk Package of flower or distillate to a counted Package of finished goods in a single action, with the source Package reduced by the correct amount. All of these actions are written to the record’s Activity History.

Prerolls and edibles are the two worked examples in this article. They are not separate features. Both follow the same two actions, and the only difference between them is the values you enter, so the examples appear as labeled variations inside each section rather than as separate workflows.

Create an Item for a Processed Product: Similar to strains for plants, Items are the products on Packages sold and transferred to another facility. If the preroll or edible Item you are looking to create does not already exist in Canix, create the Item first. The Item carries the weight unit and the implied per-unit weight that every Package of that product will inherit.

Create a Package of a Processed Product: Create a Package of finished product from a master Package of flower, shake/trim, distillate, or other source material, using Split Packages. You select the source Package, swap the Item to your finished product, and enter both the Individual Package Weight and the Pulled Weight so that Canix records the finished count and deducts the material used.

Glossary

• Processor: A facility type that converts bulk cannabis material into finished goods such as prerolls, edibles, and concentrates.
• Item: The product record on a Package. Items define what is being sold or transferred and carry the weight unit and unit details that Packages of that product inherit. Items are facility data and are created once, then reused.
• Weight Unit: The unit an Item is measured in. Each means the product is measured by count rather than by weight.
• Individual Unit Weight: Part of the Unit Details on an Item. The implied weight of one single unit of the product, for example 1 Gram for a 1g preroll.
• Units: The unit of measure that applies to the Individual Unit Weight, for example Grams.
• Split Packages: The action that creates one or more new Packages out of an existing Package, optionally changing the Item in the process.
• Source Package (Master Package): The existing Package that material is pulled from, for example a Package of flower, shake/trim, or distillate.
• Individual Package Weight: The size of each new Package being created, entered as Weight per Package. For an Item with a Weight Unit of Each, this is the number of finished units in the Package.
• Pulled Weight: The amount of material taken out of the source Package to make the new Packages. This is what is deducted from the source Package quantity.
• Production Batch: An optional free-text field of any letters or numbers, used to track a manufacturing run across the Packages it produced.
• Package Tag: The compliance tag assigned to a Package. New Packages require a New Package Tag or a Starting Package Tag when several are created at once.
• Shake/Trim: Loose plant material left after trimming, commonly used as preroll input.

Prerequisites & Setup

Before beginning, ensure the following requirements are met:

• Permissions:

• Inventory and facility data permissions are required to create Items and to split Packages. Analyze & Support > Admin & Settings > Permission Groups > Inventory > Packages, and > Admin > Facility Data > Items.
• Edit Items: Allows the user to add new Items to the facility’s Item list. Allows the user to change the weight unit and unit details on an existing Item. Needed only if you are correcting an Item rather than creating one.

• Split & Combine Packages: Allows the user to create new Packages from an existing Package. This single permission covers the whole finished-goods flow, since changing the Item happens inside the split.

• Necessary Data:

• An active source Package with enough available quantity to cover the Pulled Weight, at Inventory Management > Cannabis Inventory > View: Active. Available quantity can be lower than the Package quantity if some of it is reserved against open Sales Orders.
• Available Package Tags for the new Packages. For several Packages at once you need a contiguous run of tags starting from the Starting Package Tag.
• The finished-product Item, if it already exists, at Inventory Management > Master Data > Items.
• The intended recipe figures for the product: how much source material one finished unit consumes, and how many units go in each Package.

Important Considerations for Create an Item for a Processed Product

These “pro-tips” and warnings help avoid common pitfalls:

• Create the Item before you split the Package. The Item has to exist to be selectable in the Split Packages screen, and there is no way to create one from inside that screen.
• Field requirements: Item Name, Item Category (or Item Type), and Weight Unit are required. Unit Details, including Individual Unit Weight and Units, are what make a count-based product behave correctly and should be filled in for prerolls and edibles even though they are not strictly required.
• Weight Unit: Each means the product is measured by count. Choose it for any product sold as discrete units, such as prerolls, edibles, cartridges, and pre-packed eighths.
• Individual Unit Weight is the implied weight of one unit, not the weight of a Package or of a case. In the preroll example, Individual Unit Weight: 1 / Units: Grams means each single preroll weighs 1 Gram.
• One Item per distinct product size. A 0.5g preroll and a 1g preroll are two Items, because the implied weight is part of the Item rather than something entered per Package.
• Items are reused across every Package of that product, so a wrong weight unit or implied weight will follow every Package you create afterwards. Check the values before clicking Create.

1. Navigate to Operate > Inventory Management > Master Data > Items
2. Select + Create Item (upper right)

3. Fill out the fields to describe the finished product

• Preroll example: Set Weight Unit to Each, since the product is measured by count. In the Unit Details section below that, set Individual Unit Weight: 1 and Units: Grams to create a preroll item with 1g of material. This is the implied weight, which is how much each 1 Pre-Roll weighs. In this case, each 1 Pre-Roll has an implied weight of 1 Gram.

• Edible example: Set Weight Unit to Each, then set the Unit Details to the amount of source material one edible consumes, for example Individual Unit Weight: 0.5 and Units: Grams.

4. Click Create.

Troubleshooting for Create an Item for a Processed Product

If you encounter an error, check these common scenarios before contacting support.

• The Item does not appear in the Item dropdown when splitting a Package. Confirm the Item was created in the facility you are working in, and that it is still active on the Items list rather than archived.
• The new Packages are being tracked by weight when you expected a count. The Item’s Weight Unit is set to a weight unit rather than Each. Correct the Item, then create the Packages again.
• The implied weight on the finished Package is wrong. The Individual Unit Weight and Units in the Item’s Unit Details section drive this figure, not anything entered during the split. Correct them on the Item.
• You need two sizes of the same product. Create a second Item. The implied weight cannot be varied per Package.

Important Considerations for Create a Package of a Processed Product

These “pro-tips” and warnings help avoid common pitfalls:

• De-select “Use Same Item (as source package)” before choosing your finished-product Item. Left selected, the new Packages inherit the flower or distillate Item from the source Package.
• Field requirements: New Package Tag or Starting Package Tag, # of New Packages, Item, Package Date, Individual Package Weight, and Pulled Weight are required. Location and Production Batch are optional.
• Individual Package Weight and Pulled Weight measure different things. Individual Package Weight is how many finished units go in each new Package. Pulled Weight is how much source material comes out of the master Package. Entering the same number in both is the most common mistake in this workflow.
• Pulled Weight is entered in the source Package’s unit of measure. For a 1g preroll, five prerolls means a Pulled Weight of 5 grams. For a 0.5g edible, ten edibles means a Pulled Weight of 5 grams.
• Generate # Packages does not save anything. It builds the Packages temporarily in the right-hand panel so you can review them. Nothing is created until you click Submit.
• You can build several different Packages from one source Package in a single pass. After generating one set, fill out the left-hand panel again with new quantities or Items, then submit them all together.
• Need to remove a Package from the list? Simply select the Red X next to the Package you need to remove.
• Production Batch is free text and can be comprised of any letters or numbers you would like to track on your Package. It is a useful way to tie a run of prerolls or edibles back to a single manufacturing session.

Follow these steps or watch the demo video to complete each workflow:

1. Navigate to Inventory Management > Cannabis Inventory > View: Active
2. Select the Package you wish to use as the source and then click Actions > Split Packages. 

• We suggest using filters to narrow your search (by Tag, Item, Strain, etc.)

3. Click the edit pen icon next to the ITem name and a pop-up will appear. De-select “Use Same Item (as source package)”. Under Item click into the box, and select your Preroll or Edible Item

4. Fill out the remaining fields

• New Package Tag, or a Starting Package Tag for the new Packages
• # of New Packages
• Location (optional)
• Package Date
• Production Batch (optional), comprised of any letters or numbers you would like to track on your Package

5. Once you get to the weight section, you will utilize both Individual Package Weight and Pulled Weight

• Individual Package Weight: since the Item was created with weight unit as Each, you’ll select this in the weight unit dropdown. You will enter the number of prerolls or edibles you are creating per Package in the Weight per Package
• Pulled Weight: This is the amount of material pulled from the original Package to make the new Package. Preroll example: entering a Pulled Weight of 1 makes one 1g preroll package. To make a package of five 1g prerolls, enter 5 as the pulled weight. Edible example: 0.5 grams makes 1 edible, so to make a package of 10 edibles, enter 5 grams as the pulled weight.
• 

6. To create additional Packages from the same source Package, fill out the left-hand panel, repeating the steps with new quantities or Items

7. Click Submit to finish creating the Packages in the right-hand panel
   • View Packages: Navigate to Inventory Management > Cannabis Inventory > View: Active to see the new Packages and the reduced quantity on the source Package.

Troubleshooting for Create a Package of a Processed Product

If you encounter an error, check these common scenarios before contacting support.

• The new Packages came out with the source Package’s Item on them. “Use Same Item (as source package)” was left selected. The Item is chosen inside the pop-up that opens when you click the Package Item name.
• The source Package dropped by far more, or far less, than expected. Pulled Weight is the material consumed, not the finished count. Check that the figure you entered is the total source material for the whole Package, in the source Package’s unit of measure.
• The new Package shows a weight where you expected a count. The Item’s Weight Unit is not set to Each. See Create an Item for a Processed Product.
• Your Preroll or Edible Item is not in the Item dropdown. The Item has not been created yet, or it is archived. Create or reactivate it, then start the split again.
• The Packages you generated are gone. Generating only stages Packages in the right-hand panel. If you navigate away before clicking Submit, nothing is saved.
• There is not enough quantity in the source Package. Available quantity can be lower than the Package quantity when part of it is reserved against open Sales Orders. See Package Quantity Reservations.
• The Package Tags were rejected. Confirm the tags are unassigned and, when creating several Packages at once, that the run starting from your Starting Package Tag is contiguous and available.
• The submission failed. Navigate to Analyze & Support > Admin & Settings > User Submissions; if the submission status is Failed, click on the submission name to see the error message.
