Overview: Why We Use This Feature
A Sales Order is the record of what a customer has agreed to buy. Creating one writes to the Customer record’s order history, reserves the ordered quantity against the Inventory Availability Report for Items and the Product Availability Report for Products, and becomes the source record for the Invoice, the Pick List, and the Transfer or Manifest that follow. Because the order feeds all of those downstream records, the customer, line items, pricing, and dates entered here are the values that appear on everything generated from the order later.
Canix has many different ways to create Sales Orders. Your own Company’s specific process for selling will determine what is the best way for your organization. Starting from the Sales Orders screen is best when you are selling general items rather than specific inventory, starting from Packages is best when you already know the exact Packages going to the customer, and starting from Inventory Availability is best when you do not want to create a Sales Order for any inventory that is not available at the time. Orders can also be imported from LeafLink if they were already created there. Actions taken on the order are written to the order’s Activity History.
Several things on a new Sales Order happen automatically rather than being steps you take. Order details prefill from a previous order according to your facility settings, the Available quantity shown under each line item is calculated from unordered inventory rather than total inventory, and Non-Cannabis quantities are deducted from active inventory the moment the item is added to an active order.

Create Sales Orders from the Sales Orders Screen: Build an order from scratch by selecting a customer, searching for products to add as line items, and setting pricing, dates, discounts, and taxes before saving. This is best if you are not selling specific inventory, but general items.
Create Sales Orders from the Packages Screen: Select the Packages you would like to sell first, then create the order from them. Typically, you will do this if you already know the specific packages you’d like to sell to a customer. The next screen takes you to a sales order with line items already filled out, and packages already added for each corresponding line item.
Create Sales Orders from the Inventory Availability Screen: The “Available to Sell” view will show you the Total Packages that you have Available to Sell, as well as how much has already been Ordered, and remains Unordered. Typically, Sales Representatives utilize this view to understand how much of their Inventory is unordered, and can create orders by Items or by Packages directly from it.
Duplicate Sales Orders: Creating a similar order for the same customer? Save time by Duplicating Sales Orders in Canix. Duplicating a Sales Order will clone over all Sales Order Details, but feel free to make edits as necessary.
Apply Line Item Discounts: Apply discounts to individual line items within an order. You can add discounts as either a percentage or a dollar value, making it easy to adjust prices according to your needs.
Mark Promotional Items: The Promo Item Toggle allows you to designate specific line items on your Sales Orders as promotional. This ensures that promotional pricing for these items does not carry over to future orders, helping maintain accurate and compliant pricing.
Available Quantity on Sales Orders: The Available quantity shown on the Sales Order search bar and underneath each line item is calculated by Canix rather than entered by you. It pulls from the Unordered quantity so that the number you see reflects inventory that can actually be sold on.
Configure Sales Order Defaults: Facility level settings that control how new Sales Orders behave: which order data prefills, how Packages and Items are sorted on the order, and which Items appear in the Sales Order search.
Glossary
- Sales Order: The record of an agreed sale to a customer. It holds the customer, line items, pricing, dates, and any allocated Packages, and is the source record for the Invoice, Pick List, and Transfer generated from it.
- Line Item: A single Item or Product on a Sales Order, with its own quantity, unit, price, and optional discount.
- Order Number: This value is a facility-specific number that monotonically increases starting at 0000000001. Order Numbers are customizable in Canix so that you can match your Order Number to your own internal invoicing processes.
- ID: A globally unique identifier that is used for both internal and Canix support. This value does not change and is unique across your company. Our team uses this value to help troubleshoot any issues with a specific Sales Order, ensuring that we are referencing the correct report.
- Invoice Number: Tied to the Order Number this value can also be customized. Any changes made to the Order Number will be reflected in the Invoice Number.
- Manifest Number: This value is automatically generated when you create an Invoice via the Sales Order page.
- Available to Sell: A Package availability status indicating the Package can be allocated to a Sales Order. A custom status carrying the same permissions behaves the same way.
- Ordered: The quantity of an Item or Product already committed on Created, Approved, and Filled Sales Orders.
- Unordered: The sum of available to sell packages of the Item or Product minus the Ordered quantity. This is the number shown as Available on the Sales Order.
- Promo Item: A line item flagged as promotional so its pricing is not remembered or suggested on future orders.
- Non-Cannabis Inventory: Items such as t-shirts, lighters, or other merchandise that are not cannabis. They are delineated in the Sales Order and Sales Order search bar with their SKU name in brackets.
- Sales Price List: A named set of item prices that can be assigned to specific customers so those prices apply automatically on their orders.
- Load Order Data: A button in Order Details that pulls in the order information for the last order created for this customer.
- Order Discount: A discount applied to the whole order rather than to a single line item, managed from the Subtotal modal.
- Discount Reason: Free text explaining why a discount was applied. It is required when adding a discount at the order level and is not displayed on the order itself.
- Delivery Date: The date the order is expected to reach the customer. It drives the Sales Calendar and is never prefilled.
- Finished Goods: An Item classification that can be used to restrict the Sales Order search to sellable end products only.
Prerequisites & Setup
Before beginning, ensure the following requirements are met:
- Permissions:
- Sales permissions are required to create and price Sales Orders. Analyze & Support > Admin & Settings > Permission Groups > Sales > Sales Orders:
- Edit Sales Orders: Allows the user to create a new Sales Order from any entry point, including duplicating an existing one. Allows the user to change line items, pricing, dates, and notes on an existing order. Required to add discounts or mark a line item as a Promo Item after the order is saved.
- Necessary Data:
- At least one Customer record. Customers can be created during order creation or in advance at Transact > Sales Management > Customers. Customers can be searched by their Legal or DBA name.
- Active Items, and Packages in an Available to Sell status if you intend to create the order from Packages or from Inventory Availability.
- A Sales Price List, if the customer should receive assigned pricing. See Creating & Assigning Sales Price Lists.
- Sales Order search configuration set for the facility, since it determines which Items appear in the Product Search. By default All active items & only inactive items with active packages will be selected.

Important Considerations for Create Sales Orders from the Sales Orders Screen
These “pro-tips” and warnings help avoid common pitfalls:
- The Package weight is the ultimate decider in how much to charge for the order. If you create a line item with 100lbs but only a Package of 1lb, the Sales Order will reflect 1lb sold.
- Field requirements: Customer is required. Order Date is prefilled with the current date and can be adjusted. Delivery Date, Payment Due Date, Custom Payment Terms, and Additional Payment Notes are optional. Delivery Date is never prefilled, so it has to be entered each time.
- The reason for adding a discount is required but is not displayed on the order itself. You can enter N/A if there is no discount reason in order to add it.
- Payment Terms will also reflect on the downloadable Invoice, so enter them as you want the customer to read them.
- Sales Order search results depend on your facility configuration. By default All active items & only inactive items with active packages will be selected, meaning that Canix will show active items, even if no associated packages and shows inactive items with active packages. See Configure Sales Order Defaults to change this.
- Non-Cannabis quantities are deducted immediately. Once Non-Cannabis Inventory is added to an active Sales Order, the quantity added to the order will immediately be deducted from the active quantity of the Non-Cannabis Item.
- Currently, there is no way to remove Non-Cannabis Inventory from the Sales Order search.
- Use Load Order Data to avoid re-entering details for a repeat customer. It pulls in the order information for the last order created for this customer.
- View Full Customer Details opens the full profile without leaving the order. While the full customer profile isn’t displayed on the main Sales Order screen, the hyperlink gives you contact information, order history, and other key details.
- Pricing, quantity, and units are editable after an item is added. The quantity available is displayed below the item, and Add Notes captures any additional details.

- Navigate to Transact > Sales Management > Sales Orders > Create Order.
- Begin typing in the Customer search bar in the Order Details section to find an existing customer, or create a new customer.
- You can also create new customers by going to Transact > Sales Management > Customers to use here in the future.
- Customers can be searched by their Legal or DBA name.
- Confirm the Order Details: Order Date is pre-filled with the current date when creating a new Sales Order. If necessary, you can adjust this date to reflect the accurate order date. Add the Sales Representative and Sales Price List if they are not already populated. Delivery Date is a required field.
- Use the Product Search at the top of the Order to search for products to add to the Sales Order.
- Specify the Quantity and Units for each Item. The quantity available is displayed below the item.Add Notes to add any additional details.Non-Cannabis Items appear in the search with their SKU name in brackets.

Add Payment Terms: Add the Payment Due Date, Custom Payment Terms and Additional Payment Notes if necessary.
- Click on Discounts, Delivery Fees, Taxes and Credits to apply values to the sales order.

Click Create to save the Sales Order.
- To View Sales Orders. Navigate to Transact > Sales Management > Sales Orders
- Create Transfers/Manifests directly from Sales Orders to reduce the number of steps you need to take and ensure everything is accurate.
- Create Sales Orders from LeafLink: Orders already created in LeafLink can be imported rather than rebuilt. Please see our LeafLink Guide for more information.
Troubleshooting for Create Sales Orders from the Sales Orders Screen
If you encounter an error, check these common scenarios before contacting support.
- The item you want to sell does not appear in the Product Search. The search is filtered by your facility’s Sales Order search configuration. An inactive Item with no active Packages, or a non Finished Goods item on a facility restricted to Finished Goods, will not appear. Adjust the setting in Configure Sales Order Defaults.
- The discount will not save. The reason for adding a discount is required. Enter N/A if there is no discount reason in order to add it.
- The invoiced weight does not match the line item. The Package weight is the ultimate decider in how much to charge for the order. A line item of 100lbs allocated with a 1lb Package will reflect 1lb sold.
- A Non-Cannabis Item’s active quantity dropped before the order shipped. This is expected. The quantity is deducted from the Non-Cannabis Item as soon as it is added to an active Sales Order, not at fulfillment.
- The Delivery Date is blank on a duplicated or prefilled order. Delivery Date and Internal Notes are never prefilled by any setting. Enter them on each order.
- Payment terms are wrong on the Invoice. Payment Terms entered on the Sales Order carry through to the downloadable Invoice. Correct them on the order and regenerate.
Create Sales Orders from the Packages Screen

These “pro-tips” and warnings help avoid common pitfalls:
- Packages must be “Available to Sell” or another status with “Available to Sell” Permissions before they can be added to a Sales Order.
- The line items are built for you. The next screen will take you to a sales order with line items already filled out, and packages already added for each corresponding line item. You still need to add the customer and fill out the remainder of the Sales Order.
- You can also “scan” for packages on the Package screen rather than selecting them by hand.
- Use this route when the specific Packages are already decided. If you are selling general items rather than named inventory, start from the Sales Orders screen instead.

- Navigate to Inventory Management > Cannabis Inventory > View: Active
- Select the Packages you’d like to add to a Sales Order and then select Actions > Create Sales Order
- Ensure that the packages you’d like to add to a Sales Order are “Available to Sell” or another status with “Available to Sell” Permissions.
- We suggest using filters to narrow your search (by Tag, Item, Strain, etc.)
- To select multiple sequential records at once, make your first selection then hold down the shift key when you select the last one in the grouping
- Review the sales order that opens. See in the Order List section how line items are already filled out, and Packages are already added for each corresponding line item.
- Fill out Remaining Details: Add the customer, specify the dates, and payment terms, etc.

Click Create to save the Sales Order.
- View Sales Orders. Navigate to Transact > Sales Management > Sales Orders
Troubleshooting for Create Sales Orders from the Packages Screen
If you encounter an error, check these common scenarios before contacting support.
- The Create Sales Order button does nothing, or a Package cannot be selected. The Package is not in an Available to Sell status, or its custom status does not carry Available to Sell permissions. Update the Package status first.
- A Package you expected is missing from the list. It may already be allocated to another Sales Order, or it may no longer be active in your facility. Packages that have already transferred out are added a different way, described in Fulfilling Sales Orders.
- The generated line items are not the ones you wanted. Line items are derived from the Items on the selected Packages. Remove the line item on the order, or start again with a different Package selection.

These “pro-tips” and warnings help avoid common pitfalls:
- There are two methods on this screen and they produce different orders. Create Sales Orders by Items produces sales orders with just line items on each sales order, and no packages. Create Sales Orders by Packages produces sales orders with packages on each sales order.
- Use this screen when you do not want to sell inventory you do not have. The “Available to Sell” view will show you the Total Packages that you have Available to Sell, as well as how much has already been Ordered, and remains Unordered.
- Typically, Sales Representatives utilize this view to understand how much of their Inventory is unordered.
- Expand each Item Row to reveal the Packages that comprise the “Total for Sale” column before selecting by Package.

Two methods are available from this screen. Use the one that matches whether you are committing specific Packages.
Create Sales Orders by Items
- Navigate to Transact > Sales Management > Inventory Availability > Item Availability OR Product Availability
- Select the “Available to Sell” view to see Total Packages Available to Sell, Ordered, and Unordered. Or another custom view that you’ve built.
- Select the Item rows you would like to sell. Then select Create Sales Order. The order is created with line items only and no packages.
- Add the customer, and fill out the remainder of the Sales Order.
Create Sales Orders by Packages
- Navigate to Transact > Sales Management > Inventory Availability > Item Availability OR Product Availability
- Expand each Item Row to reveal the Packages that comprise the “Total for Sale” column.
- Click on the packages you would like to sell and select Create Sales Order. The order is created with those packages already allocated.

Complete Remaining Details: Add the customer, and fill out the remainder of the Sales Order:
- View Sales Orders: Navigate to Transact > Sales Management > Sales Orders

If you encounter an error, check these common scenarios before contacting support.
- The new order has no Packages on it. You used Create Sales Orders by Items, which creates line items only. Allocate Packages afterwards, or expand the Item Row and select Packages instead.
- The Unordered figure looks lower than your physical inventory. Unordered subtracts quantity already committed on Created, Approved, and Filled Sales Orders. Inventory sitting on an open order is not counted as available.
- An Item shows a Total for Sale but expanding it reveals no Packages. The Packages behind that figure may have moved out of an Available to Sell status since the report last refreshed. Refresh the view and check the Package statuses.
Duplicate Sales Orders

These “pro-tips” and warnings help avoid common pitfalls:
- Duplicating a Sales Order will clone over all Sales Order Details, but feel free to make edits as necessary.
- The duplicate is a new order with its own Order Number. The original is untouched and stays in its current status.
- Duplicating does not carry the original’s Packages, payments, or Transfers. Only the order details are cloned.
- You can duplicate from two places: the Sales Order table, or from inside the Sales Order itself.

From the Sales Order table
- Navigate to Transact > Sales Management > Sales Orders > View: Active

Select a Sales Order you would like to Duplicate in Canix and then Actions > Duplicate Order.
- From inside a Sales Order: Alternatively if you are in a Sales Order you would like to Duplicate you can access Actions > Duplicate to duplicate a Sales Order.

Review the cloned Sales Order Details and make edits as necessary.
- Note: Duplicate Orders will never have Packages (at least at first). Different Packages must be added to the duplicated order.
- Click Create to save the new Sales Order:
Troubleshooting for Duplicate Sales Orders
If you encounter an error, check these common scenarios before contacting support.
- The duplicate has no Packages on it. Duplication clones order details only. Allocate Packages to the new order as you would to any other.
- Duplicate Order is missing from the Actions menu. The order may be locked, or your permission group may not include creating Sales Orders. Unlock the order or check your permissions.
- The duplicate has the wrong Delivery Date. Delivery Date is not prefilled or carried over. Enter it on the new order.
Apply Line Item Discounts
Important Considerations for Apply Line Item Discounts
These “pro-tips” and warnings help avoid common pitfalls:
- A discount can be a percentage or a dollar value. Enter the percentage by which you want to reduce the line item’s price, or the specific amount you wish to subtract from the line item’s total.
- The discount value cannot be edited from the order view. After entering the discount, it will be displayed next to the line item, but it remains disabled there. Reopen the Add Discount modal to change it.
- The discount reason is editable and provides clarity on why the discount was applied. At the order level a reason is required, and N/A is accepted if there is no reason.
- Line item discounts and order discounts are separate. If you need to apply a discount to the entire order, the “Discount” field is updated to “Order Discount” within the Subtotal modal.
- The Subtotal becomes clickable once a discount is applied, which opens a detailed Subtotal modal for further review.

- Navigate to Transact > Sales Management > Sales Orders and open the order, or create a new one.
- Click Add Discount on the line item you wish to discount within your order. Directly beneath this line item, you’ll see an “Add Discount” button.
- Enter the discount details.
- Percentage Discount: Enter the percentage by which you want to reduce the line item’s price.
- Dollar Value Discount: Enter the specific amount you wish to subtract from the line item’s total.
- Add a Discount Reason. This is optional at the line item level and editable afterwards.
- Review and confirm the discount. It will be displayed next to the line item and shown as disabled in the order view.
- Review the Subtotal. Once a discount is applied, the Subtotal for the order will automatically update and becomes clickable, opening a detailed Subtotal modal.

Save the Sales Order.
- To Update the Order Discount: If you need to apply a discount to the entire order, the “Discount” field is updated to “Order Discount” within the Subtotal modal. This feature allows you to manage and review discounts comprehensively across the order.
Troubleshooting for Apply Line Item Discounts
If you encounter an error, check these common scenarios before contacting support.
- The discount field is greyed out next to the line item. This is expected. The discount value is shown but cannot be modified directly from the order view. Reopen the Add Discount modal on that line item to change it.
- The Subtotal did not change after adding a discount. Confirm the discount saved on the line item, then click the Subtotal to open the modal and see how the discount is being applied.
- An order level discount will not save. The reason for adding a discount is required at the order level. Enter N/A if there is no discount reason in order to add it.
- The Add Discount button is not visible. The order may be locked, or your permission group may not allow discounts.
Mark Promotional Items

- This feature replaces the previous “Mark as Sample” action to comply with updated regulations and streamline your Sales Order process.
- Promotional item pricing will not be remembered or suggested for subsequent Sales Orders.
- The Promo item toggle itself is not retained from order to order and must be activated manually for each promotional instance.
- Items marked as promotional will display a clear “Promo Item” label next to the item name on invoices and PDF quotes, making it easy to identify these items for both your team and your customers.

- Navigate to Transact > Sales Management > Sales Orders and open the Sales Order you wish to edit, or create a new Sales Order.
- Locate the specific line item you’d like to mark as promotional and Toggle the Retailer Sample switch to the “on” position.
- Save the Sales Order.
Troubleshooting for Mark Promotional Items
If you encounter an error, check these common scenarios before contacting support.
- The promotional price came back on the customer’s next order. This is expected. Promotional item pricing is deliberately not remembered or suggested for subsequent Sales Orders, and the toggle is not retained, so the standard or price list value is used instead.
- You cannot find the “Mark as Sample” action. It has been replaced by the Promo Item toggle.
- The “Promo Item” label is missing from the invoice. Confirm the toggle was switched on and the order was saved before the invoice or PDF quote was generated, then regenerate it.
Available Quantity on Sales Orders
Important Considerations for Available Quantity on Sales Orders
These “pro-tips” and warnings help avoid common pitfalls:
- This is a calculated figure, not a setting. There is nothing to configure or click. The number updates as orders are created and closed out.
- Available reflects Unordered, not total inventory. This gives you an accurate quantity of inventory that can actually be sold on.
- Items and Products draw from different reports. Items pull from the Inventory Availability Report and Products pull from the Product Availability Report.
- Only Created, Approved, and Filled Sales Orders reduce the figure. Orders in other statuses are not subtracted.
How It Works for Available Quantity on Sales Orders

The following is the sequence Canix runs to produce the Available quantity. These are not steps for you to follow.
- Canix reads the Unordered quantity for the Item from the Inventory Availability Report, or for the Product from the Product Availability Report.
- Unordered is calculated as the sum of available to sell packages of the Item / Product minus the Ordered quantity on Created, Approved, and Filled Sales Orders.
- The resulting figure is displayed on the Sales Order Search Bar and underneath each Line Item as the Available quantity.
- As orders move into or out of Created, Approved, and Filled, the figure recalculates.

Troubleshooting for Available Quantity on Sales Orders
If you encounter an error, check these common scenarios before contacting support.
- The Available quantity is lower than the inventory you can see on the shelf. Quantity committed on Created, Approved, and Filled Sales Orders has already been subtracted. Check the open orders for that Item.
- The Available figure for a Product does not match the figure for its Item. They are calculated from two different reports. Compare the Product Availability Report against the Inventory Availability Report rather than against each other on the order.
- The Available quantity did not go back up after an order was cancelled. Confirm the order actually left the Created, Approved, or Filled statuses. An order sitting in one of those three is still holding the quantity.
Configure Sales Order Defaults
Important Considerations for Configure Sales Order Defaults
These “pro-tips” and warnings help avoid common pitfalls:
- These are facility level settings. They apply to every Sales Order created at that facility, not to a single order.
- Field requirements: Load Sales Order Data defaults to By Customer. The alternative is By Last Sales Order.
- What’s Prefilled by the Load Sales Order Data setting: Line Item Prices, Payment Terms, Additional Payment Notes, Terms & Conditions, and Return Policy.
- What’s Always Prefilled, regardless of the setting: Sales Representative (prefilled with the user creating the Sales Order) and Order Date (prefilled with today’s date).
- What’s Never Prefilled: Internal Notes and Delivery Date.
- Sales Order search configuration decides what a sales rep can find. Options are: All Items, with or Without Active Packages; All Active Items and Only Inactive Items with Active Packages; All Active Items and only Inactive Items with Available to Sell Packages; All Items with Active Packages; and All Items with “Available to Sell” Packages.
- You can also restrict the search to Finished Goods only, so that only Finished Goods items will appear in sales orders.
- Sales Price Lists are configured separately and assigned to customers. See Creating & Assigning Sales Price Lists.

Load Sales Order Data
- Navigate to Analyze & Support > Admin & Settings > Facility Management and select a facility to manage the sales order settings.

Choose your settings:
- Total For Sale Rule: specifies how total available for sale #s will be calculated on the line items when you add them to a Sales Order.
- Default Sales Order Status: the default status after an order is created.
- Sort Packages on Sales Order: In Facility settings, you will also be able to select the order in which packages are sorted on a Sales Order. You have two selections: Alphanumeric, or Order Added to Sales Order.
- Load Sales Order Data: choose how you want Sales Order data to pre-fill.
- By Customer (Default): Prefills details from the last order created for that specific customer.
- By Last Sales Order: Prefills details from the most recent order created, regardless of customer.
- Sort Items on Sales Order: In Facility settings, you will also be able to select the order in which items are added to a Sales Order. Newest First will automatically add the newest item that you add to the Sales Order on top. Oldest First will add the newest item to the bottom of the sales order.
- Invoicing Name: the prefix to be added to your sales order names.
- COA Filename: choose by tag or by production batch number.
- Show in Sales Order Search: In Canix, you have the ability to customize what Items appear in your Sales Order Item Search. Select one of the five options listed in Important Considerations, and optionally restrict the search so that only “Finished Goods” items will appear in sales orders.
- Limit Sales Order ‘Ordered’ Quantity: determines if you can “oversell” available inventory or not.
- Show Only Finished Goods in Sales Orders: restricts the items that can be added to only those designated finished goods.
- Sort Labels Alphabetically When Printing: sorts labels when printing labels off of a sales order.

Troubleshooting for Configure Sales Order Defaults
If you encounter an error, check these common scenarios before contacting support.
- Prices are prefilling from the wrong order. The facility is likely set to By Last Sales Order, which prefills from the most recent order created regardless of customer. Switch to By Customer.
- Delivery Date and Internal Notes never prefill. This is expected. They are excluded from prefill under either setting.
- An Item is missing from the Sales Order search. Check the Sales Order search configuration and whether the facility is restricted to Finished Goods.
- Packages appear on the order in an unexpected order. Check the Sort Packages on Sales Order setting for the facility.
- The settings changed for one user but not another. These are facility settings rather than user settings. Confirm both users are working in the same facility.
