Overview: Why We Use This Feature

Canix offers Non-Compliance actions that are not recorded in systems like Metrc or BioTrack but can help run a more efficient operation. For compliance actions please see the help article here.

Assign Lot ID: Lot ID is a free-text field that is not sent to Metrc/BioTrack. This field exists in Canix only, as a flexible way to track groups of inventory that may have shared origin, shared processing history, or shared cannabis and non-cannabis inputs. Using Lot IDs makes searching for inventory with shared history, executing recalls, and tracking sales progress against groups of inventory much faster. Lot IDs can be added at the point of Package creation during different workflows such as Create Package from Harvest, Split Packages, Submit Production Batch, etc. Lot IDs can also be added at any point after receiving or creating Packages using the Assign Lot ID to Packages feature detailed in this article.

Assign a Package Owner: Use this feature to clarify if there is a specific team member currently working on, or with special access to specific inventory. Some scenarios where this may be useful:

• Assign Packages to Sales Reps:
  • In order to ensure inventory is evenly distributed, consider assigning Packages to reps
• Assign Packages to Team Leads for processing:
  • Assign oil for example that is marked for gummy production, vs vapes
• Assign Packages to Fulfillment:
  • Assign Packages to team members responsible for loading pallets.
• Assign Packages to QA:
  • Assign Packages requiring quality inspection to members of your product/quality team..

After specific Package Owners are assigned, custom inventory views can be created so that users can easily see only the inventory assigned to them. The Package Owner field can also be used in reporting. Please note that assigning Package Owners does not restrict the actions that can be taken on a specific Package, it is for visibility and reporting purposes only.

Glossary

• Lot ID: A free-form Canix-only package field used to represent an ID for a group of packaged inventory, such as a batch or production lot.
• Production Batch field: The official Metrc field that affects test result lineage. The Lot ID field is distinct from this and does not affect it.

Important Considerations for Assign Lot ID

These "pro-tips" and warnings help avoid common pitfalls:

• Overwriting Existing Lot IDs: Be careful of over-writing an existing Lot ID. In cases where you need to add a new identification to a Package that already has a Lot ID, it may be preferred to add both Lot IDs as a comma separated list (lot1234, lot1244). This maintains the record of both Lot IDs.
• Lot IDs are NOT sent to Metrc/BioTrack: This field is meant to match your business processes instead of compliance workflows. You can be creative with how you use it, but make sure your teams have a shared understanding of how it is expected to be used in your business.

1. Access the Module: Navigate to Inventory Management > Cannabis Inventory
2. Initiate Action: Select the Packages to update and then select “Assign Lot ID” from the actions menu:

3. Input Data: Enter the desired Lot ID, review the Package list is correct and remove Packages if necessary using the bin icon. 

4. Review & Save: Use “Assign” to associate the Lot ID to the Package(s). If you make a mistake with the assigned Lot ID, simply re-select the Packages and assign the corrected Lot ID.

If you encounter an error, check these common scenarios before contacting support.

• Permissions Error: Assigning Lot IDs to Packages does not have it’s own permission, it is included in the permission for “Packages > Non-Compliance Actions”.

Important Considerations for Assign Package Owner

These "pro-tips" and warnings help avoid common pitfalls:

• Assign Owners does not restrict access. Other users can still edit, move, and adjust packages that are assigned to a different owner. The Package Owner field is strictly for visibility.
• Owners must be created as users in Canix. Team members will need a Canix account to have packages assigned to them and to be able to view those packages.

5. Access the Module: Navigate to Inventory Management > Cannabis Inventory
6. Initiate Action: Select the relevant Package(s) and then select “Assign Package Owner”

7. Input Data: Search for the Canix user who you are assigning the Package(s) to:

8. Review & Save: Confirm the selection is correct and then submit. If you made a mistake selecting the Package Owner, simply repeat the action and select the corrected owner.
9. Custom Views: Users can create custom views of only the Packages that are assigned to them. To do this, search the name of the Package Owner, and then save the view using the save icon above the inventory table:

Troubleshooting Common Issues for Assign Package Owner

• Can’t Find Owner: If the user has not been created in Canix, you won’t be able to assign Packages to them.
• Non-owners editing Packages: Package Owner is strictly for visibility, other non Package Owners can still edit and adjust packages if they have the permissions to edit and adjust packages.
