If a customer returns/rejects part of an order, follow these steps to reconcile your records in Canix.
1. Receive Returned Packages
Metrc Facilities
Metrc requires incoming transfers to be accepted and received in Metrc directly. Once the incoming transfer is received, Canix will reflect those packages as active within 10 min.
Packages on the return transfer are received as Active Packages when the transfer is received in Metrc. Returned packages have a status of Allocated at this point as they are still associated with the sales order.
BioTrack Facilities
BioTrack will automatically create an incoming transfer back to the sending facility when rejected by a customer. Packages on the return transfer are automatically received as Active Packages when the return transfer is submitted. Returned packages have a status of Allocated at this point as they are still associated with the sales order.
Standalone Facilities (Non-Metrc, Non-BioTrack Facilities)
Create a return transfer from the Sales Order > Transfer Actions.

2. Mark Packages Returned on the Sales Order
Navigate to the sales order that has returned inventory.
- Locate the item that was returned and select the 3 dots next to that item > select Mark as Returned
- Confirm the returned date and optionally enter a return reason for each package > Select Mark as Returned to move them to the Returned Packages tab > Select Save to update the sales order.
- The Sales Order will now be updated to a Status of Partially Returned and next to your packages that you returned you will see Returned. The return reason can be viewed when hovering over the Return label. Save your Sales Order again to solidify changes.
- The Sales Order amounts have been updated to reflect the returned packages and those packages have been returned to your Active Inventory within Canix.
- There is now the option available to generate a Credit Memo to provide to your customers under Credit Memo > Share Credit Memo > Create New Credit Memo. Credit memos will only display the items and packages returned to provide your customer a new total to be paid, or the amount to be refunded if payments have already been received on the sales order.
- If you previously recorded a payment to this Sales Order the customer will now have a credit within Canix (if no payments were recorded on this sales order a credit will not be reflected).
- Once those steps are complete, click Save
- You can also create a new invoice by clicking Invoice Actions > Create New Invoice to create an updated invoice that excludes the rejected Package(s)
