Overview: Why We Use This Feature

Package Statuses are used to describe the current state of a Package of cannabis inventory. For example, has it been “Transferred” to another Facility? Is it in “Quarantine” due to a recall, bad test result, or some other issue?

Canix Package Statuses expand on Metrc and BioTrack statuses to give users more clarity and control over their inventory. For example, packages can be marked “Available to Sell” to indicate to the sales team which products are completed and incomplete or raw materials are marked “In Progress”. 

Custom Statuses support your unique business processes, with rules about if the inventory can be transferred, sold or edited in a given status. Here are some examples of how statuses are used in day to day work:

• Marking packages that need remediation (and locking them down so they can't be edited)
• Marking packages containing waste (and locking them down so they aren't edited)
• Marking packages that have failed testing the 1st time vs the 2nd time (depending on the state you may only have so many tests before losing the product)
• Showing packages Available for Bulk sale vs Available for Branded Sales
• Marking inventory owned by a client or partner
• Marking product that is intended for sale vs intended for an input in manufacturing
• Allocating trade samples
• Marking lost packages that cannot be found
• Preventing packages that are Allocated, but not yet on a Sales Order from being used
• Assigning products that are close to expiration or target sell by date to "Sell ASAP"
• Marking inventory that is available at a discount
• Differentiating from dry flower, which can be sold, and drying flower, which should not be added to a Sales Order or Transfer
• Marking packages that need labels and are ready for packaging

In this article we'll discuss what each package status means, when a status would change, how to update a status, and how to create your own custom status.

Glossary

In Progress — A working status where packages can be adjusted but not sold or transferred.

• Corresponding Metrc Status: Active
• Available Actions: Split, combined, adjust packages; plus Unpack into Plantings, Change Location, Change Item, Deactivate Package, Update Availability Status, Assign Lot ID, Assign Package Owner, Assign NCI, Assign Labor COGS, Sync Inventory with LeafLink, Print Labels, and Upload Manual Lab Tests
• Cannot: Add to a sales order or transfer
• Designations: User can mark "Available to Sell" or "In Quarantine"; automatically applied to harvest packages, packages from Untracked Items, and Manufacturing Module packages (if set as Default Package Status), to returned packages (if set as Default Returned Package Status), and to child packages split or combined from an "In Progress" package
• Packages Screen: Unallocated, Active, and All Default Views
• Inventory Availability Report: Included in the Active Inventory and All default views

Available to Sell — The least restrictive status; packages can be sold and transferred.

• Corresponding Metrc Status: Active
• Available Actions: Split, combined, adjusted, AND added to sales orders and transfers; plus Unpack into Plantings, Change Location, Change Item, Deactivate Package, Update Availability Status, Assign Lot ID, Assign Package Owner, Assign NCI, Assign Labor COGS, Sync Inventory with LeafLink, Print Labels, and Upload Manual Lab Tests
• Designations: Users can update "In Progress" or "In Quarantine" packages to "Available to Sell" (and back); automatically applied to harvest packages, Untracked Items, and Manufacturing Module packages (if set as Default Package Status), to returned packages (if set as Default Returned Package Status), and to child packages split or combined from an "Available to Sell" package
• Packages Screen: Unallocated, Active, and All Default Views
• Inventory Availability Report: Populates the Available to Sell default view, and is also included on the Active Inventory and All default views

In Quarantine — A restricted status that blocks selling, transferring, and editing.

• Corresponding Metrc Status: Active or On Hold
• Available Actions: Update Availability Status, Assign Lot ID, Assign Package Owner, Print Labels, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to a sales order, or added to a transfer
• Designations: User can mark packages as "Available to Sell" or "In Progress"; automatically applied to harvest packages, Untracked Items, and Manufacturing Module packages (if set as Default Package Status) or to returned packages (if set as Default Returned Package status)
• Packages Screen: Active, Unallocated, and All Default Views
• Inventory Availability Report: Included in the Active Inventory and All default views
• Miscellaneous: Packages that are On Hold in Metrc also show as "In Quarantine" in Canix

Allocated — Automatically applied when a package is added to a Sales Order.

• Corresponding Metrc Status: Active
• Available Actions: Unpack into plantings, change location, adjust package, change item, deactivate package, assign Lot ID, assign package owner, assign NCI, assign Labor COGS, Sync Inventory with LeafLink, Print Labels, and Upload Manual Lab Tests
• Cannot: Be added to a sales order or transfer
• Designations: Users cannot manually update packages to "Allocated"; packages are placed into "Allocated" automatically when added to a Sales Order
• Packages Screen: Allocated, Active, and All Default Views
• Inventory Availability Report: Included in the Active Inventory and All default views
• Miscellaneous: Packages are Allocated if on a Sales Order with a status of Created, Approved, or Filled; when a Transfer is created from a Sales Order the packages update to Transferred; when a package is taken off a Sales Order, its status reverts to its pre-allocation status

Transferred — Means the package is on an Accepted transfer.

• Corresponding Metrc Status: Transferred
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Assign Labor COGS, Sync Inventory with LeafLink, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to another transfer, or added to a sales order
• Designations: Users cannot manually update packages to "Transferred"; automatically applied when added to an Accepted Transfer; returned packages received back into the facility get the Default Returned Package status set in Facility Management
• Packages Screen: Transferred and All Default Views
• Inventory Availability Report: Not included
• Miscellaneous: A "Transferred" status means the package is on an Accepted transfer

In Transit — Means the package is on an In Transit transfer.

• Corresponding Metrc Status: In Transit
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Assign Labor COGS, Sync Inventory with LeafLink, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to another transfer, or added to a sales order
• Designations: Users cannot manually update packages to "In Transit"; automatically applied when added to a transfer; returned packages received back into the facility get the Default Returned Package status set in Facility Management
• Packages Screen: In Transit and All Default Views
• Inventory Availability Report: Not included
• Miscellaneous: An "In Transit" status means the package is on an In Transit transfer

Rejected — Automatically applied when a package is rejected from a transfer in Metrc.

• Corresponding Metrc Status: Inactive
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Reactivate Packages, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to a transfer, or added to a sales order
• Designations: User cannot manually update packages to "Rejected"; automatically applied when they are rejected from a transfer in Metrc
• Packages Screen: All Default Views
• Inventory Availability Report: Not included
• Miscellaneous: Packages can only be rejected from a transfer in Metrc

Finished — Automatically applied when a package is deactivated.

• Corresponding Metrc Status: Inactive
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Reactivate Packages, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to a transfer, or added to a sales order
• Designations: User cannot manually update packages to "Finished"; automatically applied when they are deactivated
• Packages Screen: Finished and All Default Views
• Inventory Availability Report: Not included
• Miscellaneous: Metrc facilities can only finish a package when the quantity is fully depleted; non-Metrc facilities can finish a package even when it is not fully depleted

On Hold — Automatically applied when a package is put on hold by the state.

• Corresponding Metrc Status: On Hold
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Reactivate Packages, and Upload Manual Lab Tests
• Designations: User cannot manually update packages to "On Hold"; automatically applied when they are put on hold by the state

Inactive — Inactive in Canix and in Metrc; cannot be associated as Transferred or Finished.

• Corresponding Metrc Status: Inactive

• Cannot: Be split, combined, adjusted, added to a transfer, or added to a sales order

• Miscellaneous: An "Inactive" package is Inactive in Metrc and cannot be associated as Transferred or Finished; discontinued packages in Metrc show in the Inactive Metrc tab and are likely to show as Inactive in Canix

Incoming — A package on an incoming transfer into the facility.

• Corresponding Metrc Status: Inactive
• Available Actions: Assign Lot ID, Assign Package Owner, Assign NCI, Sync Inventory with LeafLink, and Upload Manual Lab Tests
• Cannot: Be split, combined, adjusted, added to a transfer, or added to a sales order
• Designations: Users cannot manually update packages to "Incoming"
• Packages Screen: All Default View and Incoming Default View
• Inventory Availability Report: Not included
• Miscellaneous: An "Incoming" package is on an incoming transfer into the facility; once the transfer is accepted, the status changes from Incoming to an Active package status

Prerequisites & Setup

Before beginning, ensure the following requirements are met:

• Permissions:
  • Access to Inventory > Packages > Update Availability Status is required to change a package’s status.
  • Access to Admin > Facility Data > Custom Phases is required to create custom statuses.

Step-by-Step Instructions

Update Package Availability Status: Follow these steps to change a package’s status:

1. Access Cannabis Inventory: Navigate to Inventory Management > Cannabis Inventory
2. Initiate Action: Select the Packages that you need to update. Remember that you can scan to select packages. Then select “Update Availability Status” from the Actions dropdown menu:

3. Select your Status: use the search box to find the new status, or create a new Custom Status. Each status will have a description explaining if it can be added to Sales Orders and Transfers, and if it can be edited.

4. Review & Save: Confirm you have the correct status before saving. If you selected the wrong status by mistake, re-select the packages, select actions, “Update Availability Status”, and then the correct status and save again.

Create Custom Package Statuses: Follow these steps to create a custom status.

1. Navigate to Inventory > Inventory Settings > Custom Availability Statuses
2. Select “Create Availability Status” in the top right corner of the screen

3. Inputs: enter the name of the new status, the desired color, and the restrictions. Should a package in this state be allowed to be sold, transferred or edited?
   1. Can be added to sales orders & transfers (Least Restrictive)
      1. In this state the package can still be adjusted, quantity can be changed, the package can be split and combined.
   2. Cannot be added to sales orders & transfers
      1. In this state the package can still be adjusted, quantity can be changed, the package can be split and combined.
   3. Cannot be edited or added to sales orders & transfers (Most Restrictive)
      1. These restrictions are similar to a quarantine. The package cannot be moved to other facilities, sold, or edited.

Important Considerations

These "pro-tips" and warnings help avoid common pitfalls:

• Removed from a Sales Order: When a package is removed from a Sales Order and becomes Unallocated, the package status returns back to the status it had before it was allocated — In Progress or Available to Sell.
• Returned from a Transfer: When a package is returned from a Transfer, the package status returns back to the status it had before it was transferred.
• Finished packages: When a package is finished, the package availability status is marked as finished.
• Split or combined packages: If a package is split or combined from a package with Available to Sell, the parent package status will be passed on to the child package.

System Impacts & Dependencies

Changing data in one area often triggers updates elsewhere. Understanding these relationships is critical for data integrity.

Troubleshooting Common Issues

If you encounter an error, check these common scenarios before contacting support.

• A custom-status package flips to Available to Sell: The 'Mark Tested Packages as Sellable' setting in Facility Management will override Custom Availability Statuses and automatically mark packages with a testing status of TestPassed as Available to Sell in your Inventory. To avoid TestPassed packages with a custom status flipping to Available to Sell, simply disable this setting by unchecking the box and they will maintain the desired Custom Status.
• Can't add a package to a Sales Order or Transfer. Most statuses cannot be sold or transferred ("In Progress," "In Quarantine," "Allocated," "Transferred," "In Transit," "Rejected," "Finished," "On Hold," "Inactive," "Incoming"). If you’re receiving this error when populating a Sales Order or Transfer, keep in mind that only “Available to Sell” packages, or packages with a custom status that allows for Sales Orders and Transfers will work.
• Packages “On Hold” in Metrc show up as “In Quarantine” in Canix. If you’re having trouble finding an On Hold Package, filter the Inventory table to “In Quarantine” in Canix.
• Package unexpectedly shows as "Inactive." Discontinued Packages in Metrc show in the Inactive Metrc tab and are likely to show as Inactive in Canix.
• Package status revere to their previous stats after leaving a Sales Order. When a package is taken off a Sales Order, the status reverts to its pre-allocation status (e.g., back to "Available to Sell").
• Packages are stuck in the "Incoming" status. An "Incoming" package is on an incoming transfer. The status only changes to Active once the Transfer is accepted.
• Returned packages don’t have the correct status. Returned packages receive the Default Returned Package status set in Facility Management.
