Overview: Why We Use This Feature
The Brand Dashboard feature in Canix allows Admins to restrict user access across the platform based on brand association. The configuration lives on the user’s record in User Management and in that user’s Permission Group. Once it is in place, it filters what that user can see and act on throughout Canix: Packages, Sales Orders, Items, Non-Cannabis Inventory, inventory availability, and the brand reports. This is especially useful for managing multi-brand facilities, external brand representatives, or segmented responsibilities within your organization.
With Restrict Viewable Inventory, you can assign users to specific brands, limiting their visibility and actions to only the sales orders, packages, and items associated with those brands. This keeps your data secure, streamlines user workflows, and helps ensure brand reps only see what they need. It also simplifies the interface for those users, since only relevant data is displayed, and it prevents accidental interactions with unrelated inventory or orders.
Note that the filtering itself is not something the restricted user does. Once brands are assigned and saved, Canix applies the restriction automatically everywhere that user goes, and changes to a user’s assigned brands apply immediately.

Restrict a User by Brand: Assign a user to one or more brands so their visibility and actions are limited to the sales orders, packages, and items associated with those brands. This is set on the user’s record, in the Inventory Restrictions section, using the Restrict Viewable Inventory toggle.
Configure Brand Reporting Permissions: Give a brand user the reporting access that matches their restriction. Brand users should have the Reporting > Brands View permission assigned, and only the Brand permission assigned, which makes four brand-specific reports available to them.
Brand-Restricted Visibility Across Canix: Once a user is restricted by brand, their experience in Canix adjusts accordingly. This is automatic behavior rather than an action, and this section describes what a restricted user sees in each area of the platform.
Glossary
- Brand: The label assigned to an Item that identifies the product line it belongs to. Brands are created and managed in Facility Data and drive everything the Brand Dashboard restricts.
- Brand Dashboard: The set of Canix behaviors that limit a user’s access across the platform based on the brands assigned to them.
- Restrict Viewable Inventory: The toggle on a user’s record that turns brand restriction on for that user.
- Inventory Restrictions: The section of the user’s record in User Management that contains the Restrict Viewable Inventory toggle and the brand selection.
- Brand User: A user who has Restrict Viewable Inventory enabled and one or more brands assigned.
- Unbranded Item: An Item with no Brand assigned. Unbranded items are not visible to restricted users.
- Custom Reporting: The reporting area that allows users to copy and edit reports. It must be set to No Access for brand users, or the brand restrictions no longer apply.
- Sales Order Management: The Sales Orders area of the application, as distinct from Sales reporting. The two filter mixed-brand orders differently.
- Item and Product Inventory Availability: The availability reports that show inventory at the Item level and at the Product level. Both remain available to brand users.
Prerequisites & Setup
Before beginning, ensure the following requirements are met:
- Permissions:
- Admin permissions are required to restrict a user by brand and to configure their reporting access. Analyze & Support > Admin & Settings > Permission Groups > Admin > User Management.
- Support > Admin & Settings > Permission Groups > Admin > Facility Data > Items: Edit access permits a user to create and manage the Brands displayed for selection on your Canix account. Do not grant this permission unless you know the user understands the impacts of creating new brands, or modifying or deleting existing Brands on your Canix account.
- Support > Admin & Settings > Permission Groups > Reporting > Brands: View access is the permission assigned to the brand user themselves. Any non-administrative user typically only needs this one, for use of Custom Reporting within your account.
- Necessary Data:
- At least one Brand must exist on your account, and it must be assigned to the Items you want the restricted user to see. Items with no Brand are invisible to restricted users.
- The user account must already exist before restrictions can be applied to it.
- A permission group for brand users, with custom reporting permissions set to No Access.

These “pro-tips” and warnings help avoid common pitfalls:
- Admin access is required to assign or change brand restrictions on a user.
- Field requirements: Restrict Viewable Inventory must be toggled on and at least one Brand must be selected, then the change must be saved.
- You can assign one or multiple brands per user. A user assigned to several brands sees packages, sales orders, and items related to all selected brands.
- If a Sales Order contains ANY items from different brands, that sales order WILL NOT be viewable to the user. The order has to be made up entirely of items from the user’s assigned brands.
- Unbranded items will not be visible to restricted users. If a restricted user is missing inventory they expect to see, the Brand on the Item is the first thing to check.
- Updates apply immediately once you save the user’s record.
- WARNING: Do not grant Edit on Admin > Facility Data > Items unless the user understands the impacts of creating new brands, or modifying or deleting existing Brands on your Canix account.

Troubleshooting for Restrict a User by Brand
If you encounter an error, check these common scenarios before contacting support.
- The brand you want to assign is not in the list. The Brand has to exist on the account before it can be selected. Brands are created and managed in Facility Data by a user with Edit access to Admin > Facility Data > Items.
- The restricted user still sees inventory from other brands. Confirm Restrict Viewable Inventory is toggled on for that user and that the change was saved, rather than only the brand selection being made.
- The restricted user sees no packages or items at all. Check that the assigned Brand is actually applied to your Items. Unbranded items are not visible to restricted users, so a brand with no items behind it produces an empty view.
- A brand user can still reach reports and inventory outside their brands. Custom reporting permissions must be set to No Access. If they are not, the user can copy and edit reports and the brand permissions no longer apply.

- Brand users MUST HAVE custom reporting permissions marked as “No Access.” Otherwise, they will be able to copy and edit reports, and all the Brand Permissions will no longer apply.
- Field requirements: Reporting > Brands set to View, and only the Brand permission assigned within Reporting.
- Non-administrative users typically only need the Reporting > Brands View permission assigned, for users of Custom Reporting within your account.
- Sales reporting contains ALL of the sales orders containing ANY items with the brand on it. This is different from Sales Order Management, where only orders containing ALL items of the brand will be shown, because Sales reporting is designed to show reporting on the sale of all items with the specific brand on it.
- Brand users keep access to both Item and Product level inventory availability reports.

- Navigate to Analyze & Support > Admin & Settings > Permission Groups
- Select or create the permission group used by your brand users
- Under Reporting, set Brands to View
- Assign only the Brand permission within Reporting
- Set custom reporting permissions to No Access
- Note: If custom reporting is left open, the user can copy and edit reports and all the Brand Permissions will no longer apply
- Save the permission group and confirm it is assigned to the brand user
Brand Reports Available
Four reports will be available:
- Sales Overview - Brands: shows visual representations of your Sales Over Time, Sales by Item Type, Name, and Sub-type, Sales by Channel, Postal Code, Brand, Rep, and Source Facility.
- Sales Orders Over Time - Brands: shows a tabular representation of Orders, Order Items, Packages, Payments, and Invoices.
- Cannabis Inventory Overview - Brands: provides a visual and tabular based representation of all of Canix’s inventory, sorted by brand.
- Accounts Receivable and Collections Overview - Brands: shows, by brand, the total owed by customer, payment details, and receivables by Order Number.
Troubleshooting for Configure Brand Reporting Permissions
If you encounter an error, check these common scenarios before contacting support.
- The brand reports are not appearing for the user. Confirm the Reporting > Brands View permission is assigned on the permission group that the user belongs to.
- A brand user can copy or edit reports. Custom reporting permissions are not set to No Access. Until they are, the brand restrictions do not hold.
- A sales report includes orders the user cannot open in Sales Orders. This is expected. Sales reporting covers every order containing any item with the brand on it, while Sales Order Management shows only orders where all items carry the brand.
- A report is empty for a brand that has activity. Check that the Items behind that activity carry the Brand. Reporting is driven by the Brand on the Item, not by the user’s assignment alone.

- This is automatic behavior, not an action. There is nothing for the restricted user to turn on. Canix applies the filtering everywhere once brands are assigned to them.
- Restricted users will have a limited left-hand menu, only showing Inventory, Sales, and Admin (with limited access).
- A Sales Order containing ANY items from different brands will not be viewable to the user, even when most of the order belongs to their brand.
- Unbranded items will not be visible to restricted users.
- An empty Non-Cannabis Inventory section is expected when no non-cannabis items are linked to the user’s brand(s).
- Restriction applies to actions as well as visibility. A restricted user can only create sales orders from their allowed brands’ items, and can only allocate packages from their assigned brands.
How It Works for Brand-Restricted Visibility Across Canix
Once a user is restricted by brand, their experience in Canix will adjust accordingly. The following is what Canix does automatically for that user. There are no steps to follow.
Packages
- Users will only see packages associated with the brand(s) assigned to them
- Even if thousands of packages exist in the facility, only the relevant ones will display
Sales Orders
- Users can view only sales orders that include items from their assigned brands
- Users can create sales orders only using items from their allowed brands
- Users can allocate packages only from their assigned brands
- An important note: if a Sales Order contains ANY items from different brands, that sales order WILL NOT be viewable to the user
Items
- Only items with the associated brand(s) will appear in their Items Table
- Note: users with Edit permissions for Admin > Facility Data > Items are permitted to create and manage Brands displayed for selection on your Canix account. Do not grant this permission unless you know the user understands the impacts of creating new brands, or modifying or deleting existing Brands on your Canix account
- Note: any non-administrative users typically only need the Reporting > Brands View permission assigned, for users of Custom Reporting within your account
Non-Cannabis Inventory
- Users will only see non-cannabis items linked to their brand(s)
- If none exist, this section will appear empty
Item and Product Level Inventory Availability
- Brand users will have access to both Item and Product level inventory availability reports

Example Use Case
A user is assigned to the Lucy’s Buds brand. Here’s what they’ll see:
- Only 3 packages linked to Lucy’s Buds in the Packages Table
- Only 2 items (e.g., Blueberry Fruit Gummy and 1g Vape Cart) associated with Lucy’s Buds
- Can only create and fulfill sales orders using those 2 items and 3 packages
- No access to any unrelated inventory or sales data in the system
Troubleshooting for Brand-Restricted Visibility Across Canix
If you encounter an error, check these common scenarios before contacting support.
- A sales order is missing from the user’s list. The order most likely contains at least one item from a brand the user is not assigned to. An order is only viewable when every item on it belongs to their brand(s).
- An item is missing from the Items Table. Items with no Brand assigned are not visible to restricted users. Assign the Brand to the Item and it will appear.
- The Non-Cannabis Inventory section is empty. No non-cannabis items are linked to the user’s brand(s). This is expected rather than an error.
- The left-hand menu is missing sections. This is expected. Restricted users see a limited menu showing Inventory, Sales, and Admin with limited access.
- A package the user needs cannot be allocated. Packages can only be allocated from the user’s assigned brands. Either assign the additional brand to the user or have an unrestricted user complete the allocation.

Changing data in one area often triggers updates elsewhere. Understanding these relationships is critical for data integrity.
