Below are the steps to migrate from BioTrack to Metrc in Illinois. For questions on the migration, please reach out to your Canix point of contact or help@canix.com.
1. Metrc and BioTrack Credentials
If you do not already have your BioTrack facility connected to Canix, send the following information to your Canix point of contact.
BioTrack Credentials:
- Facility license numbers (see here to find this info)
- UBI #s (if more than 1, provide all UBI numbers)
- Login Email (if different logins per BioTrack location or UBI, provide a login to each location)
- Login Password (if different logins per BioTrack location or UBI, provide a password to each login)
You also need to provide your Metrc credentials. Log into your Metrc account to provide the following information to your Canix point of contact.
Metrc Credentials:
- License Numbers in Metrc
- Preferred Facility Name to display in Canix per License Number (can be edited later)
- A user API key with view and write permissions to Strains, Locations, Items, Packages, Plants and Plant Batches (preferably the Admin's key to avoid permission issues)
2. Item Mapping from BioTrack to Metrc Items
- Propose Metrc Item Migration - Canix will review your current product information in BioTrack and draft a proposal of how those Items will be created in Metrc with the Metrc specific Item Types.
- Review Metrc Item Proposal - Canix will review the Item proposal on a call with your team and make any edits as needed before migrating to Metrc.
- Coordinate Migration Time/Date - Once the item proposal is approved, we have all of the information we need to migrate you to Metrc. We'll determine a date and time with you to migrate your information to Metrc to disturb your operations as little as possible.
3. Migration Steps for Canix to Complete
The following process is used to migrate your BioTrack inventory and data to Metrc. See here for more information on BioTrack and Metrc differences in the migration.
- Create all Locations in Metrc
- Create all Strains in Metrc
- Create Plant Batches (groups of your Plants grouped by Strain, Planted Date and Location) in Metrc
- Create BioTrack Products as Metrc Items and Create Incoming Transfers with your Package inventory in Metrc
- If needed this part of the migration can be run in multiple phases based on Location. For example if you need to migrate your WIP goods before your Finished Goods we can run two separate migrations, first with the locations that contain Work in Progress goods, followed by the locations that contain Finished Goods at a later date.
- These Packages will be added to Incoming Transfers in your Metrc facility, grouped by location to help enable easier tagging of physical inventory.
4. Migration Steps for the Facility to Complete
After the migration is run, there are additional steps you need to execute to finalize the migration:
- Change Plant Phase - Canix will create Plant Batches in Metrc grouped by strain, planted date and location. You will move plants to the Vegetative or Flowering stage and assign the Metrc plant tags physically to your inventory.
- Tag Plants Physically - You can physically assign tags to your Vegetative and Flowering plants in advance of the migration. In Canix, you'll specify the starting plant tag that should be used to associate the correct tags as you change growth phase from Plant Batch to Vegetative.

Receive Incoming Transfer in Metrc - Receive your Incoming Transfer in Metrc and assign the new Package tags in Metrc to the inventory received. After those are tagged, we'll sync your package inventory to Canix within 20 min. Packages will be added to each Transfer by Room, with the "Invoice Number" (Inv. NBR) column used to indicate the room.
- Tip: When we run the migration from BioTrack to Canix, an "External ID" will be sent to Metrc to represent the BioTrack ID of the package. If you choose to tag your lots/packages before the migration, you'll know which Metrc tag to specify when receiving the transfer in Metrc.
- Once the packages are received into Canix/Metrc the "External ID" will be shown in the Canix Packages table as the "Previous Packages Tag" field.
- Test results will NOT automatically be carried over to Metrc. To add Test Results in Metrc you will create a virtual sample that will be "Transferred" to the lab. This sample should be logged in Metrc only, it does not need to be physically shipped. The lab will then re-upload the new Test Results on the sample.
- Tip: When we run the migration from BioTrack to Canix, an "External ID" will be sent to Metrc to represent the BioTrack ID of the package. If you choose to tag your lots/packages before the migration, you'll know which Metrc tag to specify when receiving the transfer in Metrc.
- Update Metrc Item Information - Canix creates your Metrc items to assign to package inventory. These items represent Raw Materials, Work in Progress, and Finished Goods. Once migrated to Metrc, you will upload Product, Package and Label photos in Canix for Items that require it from the state (these photos are not available for us to pull from BioTrack).
- Update Metrc Strain Information - Strains are automatically created with 50% Indica/50% Sativa set on the strain, as this field is required by Metrc. If you would like to change this, you can update your Strains in Canix to have different percentages. Note - Actual test results are applied on package inventory once it is sent to a lab for testing. This is only for Metrc's requirement to create strains.
